1. Who are we?

With this statement we would like to inform you about the way in which personal data is collected and processed by us, Establis Group bv (hereinafter “Establis”), with registered office in Belgium at 8800 Roeselare, Beversesteenweg 612 and with company number 0861.634.469 (hereinafter “we”).

We wish to maintain and respect the trust placed in Establis by treating your personal data

  • appropriately, in accordance with our mission;
  • lawfully, in compliance with legislation, guidelines, regulations and principles in the field of data protection.

Unless otherwise stated, we are responsible for the processing of the personal data collected by us in the context of our services and activities. We thus act as the so-called “controller”, i.e. the person who determines the purpose and means of the processing of personal data.

We do not intentionally collect or process personal data relating to persons under the age of 16.

2. Personal data that we process

“Personal data” means all information about an identified or identifiable natural person.

The type of personal data that we collect depends on your specific situation or the specific activities or services that are offered or requested.

We process personal data about you because you use our services and/or because you provide them to us yourself. Below is an overview of the (mainly administrative) personal data that we process:

  • first and last name;
  • gender;

  • bank account number;
  • VAT number;
  • position;

We do not collect and process sensitive information, for example data relating to race or ethnic origin, religious beliefs, physical or mental health or sexual orientation. If such personal data were to be provided to us, we would not use it and would delete it.

3. When and how does ESTABLIS obtain personal information?

ESTABLIS can obtain personal information in various ways.

  • We obtain personal information from you when you contact us for information, recruitment, products or services.
  • We may obtain your personal information from our contacts with our customers, suppliers and other business contacts.
  • On our website you have the option to send us personal information about yourself, for example when filling out the contact form.

4. Why do we need data?

ESTABLIS processes your personal data for the following purposes:

  • in response to your questions and (quote) requests;
  • when entering into a contract or contract negotiations with you or about you;
  • when creating files, including a file of your personal data;
  • to contact you by post or e-mail (or, with your consent, in another way) to inform you about matters that may interest you;

  • to delete your personal identification data (your name, e-mail address, etc.). In this case, you are no longer registered with us as an individual.   • to comply with laws, regulations, court orders or other legal obligations;

  • on behalf of third parties such as our external accounting firm;

5. How long do we retain your personal data?

ESTABLIS will not retain your personal data for longer than is strictly necessary to achieve the purposes for which your data is collected. The retention period will depend on the purpose for which the personal data was collected. In many cases, personal data must be retained for a considerable period of time to ensure that it is available in the event of questions or disputes. The retention period takes into account the requirements of the specific situation and the need to destroy outdated, unused data at the first reasonable opportunity. We will treat your personal data in accordance with this Privacy Statement for as long as we retain it.

6. With whom do we share your personal data?

ESTABLIS does not sell your data to third parties and will only provide it if this is necessary for the execution of our agreement with you or to comply with a legal obligation. With companies that process your data on our behalf (an ICT company for the maintenance and management of our websites, a social secretariat, an external accounting firm, etc.), we conclude a processing agreement to ensure the same level of security and confidentiality of your data. ESTABLIS remains responsible for this processing.

We would like to emphasize that Evolv Engineering nv and skald engineering bv are not considered third parties, and that your personal data is shared with them by Establis Group bv.

7. How do we protect your personal data?

ESTABLIS takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. If you have the impression that your data is not properly secured or there are indications of misuse, please contact us via info@establis.eu

8. What are your rights?

You have the right to view, correct or delete your personal data. You can send a request for access, correction or deletion to mailto:info@establis.eu or in writing to Establis Group bv, Beversesteenweg 612, 8800 Roeselare. To ensure that the request for access has been made by you, we ask you to send a copy of your ID with the request. We ask you to black out your passport photo and national register number in this copy. This is to protect your privacy. ESTABLIS will respond to your request as soon as possible, but within four weeks.
